Cold calling agency vs in-house SDR: the costs
A cold calling agency and an in-house SDR put different costs and responsibilities on the buyer. This comparison uses published 2025 and 2026 figures, then applies them to a requirement for 15 held meetings in one month.
$1,500 to set up. $6,000 per block of qualified meetings. When a block is delivered, the next one starts.
The in-house cost base
SalesHive and Martal estimated a fully loaded SDR at $100,000–$210,000 a year in 2026. That range combines compensation with employer costs and operating overhead. Converted to a monthly equivalent, it is about $8,333–$17,500 before deciding which costs are already included in a particular estimate. A buyer should use its own payroll, benefits, equipment, recruiting, and management figures for a final model.
The software line also needs explicit treatment. PhoneBurner listed its Professional dialer at $165 a seat each month in 2026. Apollo listed its Professional contact-data plan at $79 a month in 2026. First Orion listed INFORM Starter branded caller identification and monitoring from $31 a month in 2026. Larger data packages, additional numbers, and other systems can change those amounts.
Ramp and management time
The Bridge Group reported an SDR ramp of about three months in its 2025 research. Ramp is not three months without work; it is the period before the representative reaches the expected production level. Recruiting happens before that clock starts. During ramp, a manager defines segments, reviews calls, maintains data, checks phone reputation, adjusts messaging, and measures activity and meeting quality.
An agency includes those operating tasks inside its service scope, but the client still has work. The client must define the buyer and meeting, approve the call framework, connect a CRM and calendar, listen to early recordings, attend booked meetings, and report qualification disputes. Outsourcing changes who runs the calling system; it does not remove the client’s responsibility for the offer or sales process.
Worked example: 15 held meetings
Consider a freight and logistics company that needs 15 qualified rate reviews in one month. The published Thaw block for that vertical contains 15 held meetings for $6,000. Initial setup is $1,500, so the first block costs $7,500 including setup, or $500 per held meeting when setup is allocated across that first block. A later authorized block is $6,000, or $400 per held meeting.
The in-house comparison begins with the $8,333–$17,500 monthly equivalent from the annual cost range. Adding the three listed tools produces $8,608–$17,775 before other software or number costs. That is not a cost-per-meeting result because meeting output is not specified by the salary figures. To compare fairly, divide actual held meetings into the actual monthly employment and system cost.
What the block includes
The block includes half of one trained caller’s working day, planned at about 75 dials a day for 20 working days. It also includes a list built for the block, provisioned business numbers, the dialer, recordings, the approved call framework, CRM notes, calendar booking, and a Friday report. The report lists dials, connects, conversations, objections, meetings booked, meetings held, and qualification pass rate.
A block is counted as delivered when its published number of qualified meetings has been held. No-shows are re-booked and do not count. The next block requires written authorization after the current block is delivered, unless different renewal terms were agreed in advance. The client can compare that defined unit with an employee model using its own costs, output history, and management capacity.

Cold calling agency vs in-house SDR: the costs FAQ
Is an agency always less expensive than an in-house SDR?
No. The comparison depends on internal employment costs, actual held-meeting output, management capacity, and the agency scope and price.
What does the $6,000 Thaw block include?
It includes the caller allocation, list, business numbers, dialer, recordings, call framework, CRM notes, calendar booking, and Friday report.
How should cost per meeting be compared?
Divide the full cost for the same period by qualified meetings that were actually held. Keep setup, software, data, phone, management, and no-show treatment consistent on both sides.
