Trade Show & Webinar Follow-Up Calls

What it is

Event leads decay by the hour. A badge scan or a webinar registration is intent with a shelf life — and the vendor who calls first usually books the meeting. Most teams get to the list a week later, by email, and wonder why it underperforms.

Thaw starts dialing within 48 hours of your list export. Your caller references the event, the session, or the booth conversation, qualifies against your criteria, and books the meeting while the prospect still remembers being there.

How it runs on Thaw

  • List: you export scans or registrants; we dedupe, verify direct dials, and prioritize by fit before the event ends where possible.
  • Script: opens with the shared context — the booth, the session, the talk — so the call feels like a continuation, not a cold interruption.
  • Dials: the list is worked hard in the first week, when conversion rates are highest, then persistently until each lead is reached or exhausted.
  • Reporting: you see contacted, qualified, booked, and dead counts with recordings, so the event's real value is finally measurable.

What counts as a qualified meeting

A qualified meeting counts toward your block only when it is an ICP-fit account, the agreed title, a confirmed need or timing, a time accepted and re-confirmed before the meeting, and the meeting held. No-shows don't count. We re-book them.

Compliance

We call business lines during business hours in the prospect's time zone, identify ourselves and the client on every call, maintain an internal do-not-call list honoured immediately, scrub US lists against the National Do Not Call Registry, and follow call-recording consent rules for the state or province we're calling into.
